Booking and dates
How far in advance should I book a claw machine rental?
Six weeks is the standard ask: signed contract and payment lock your date, artwork and five sample prizes ship three weeks before the machine arrives, and branding plus prizes lock four weeks before the event for testing. We flex on compressed timelines when production windows allow, so ask.
Will you hold my event date?
Dates are confirmed only by a signed agreement and paid invoice, first come, first served, and quotes expire after two weeks. December books out fastest, first come, first served, so holiday-season dates deserve the earliest decision on your calendar.
What are the payment terms?
Full payment at least four weeks before the machine arrives guarantees service, and listed prices include a 4 percent discount for check or ACH payment; paying by credit card waives that discount. Your quote holds for two weeks from the date we send it.
How fast will you respond to my quote request?
Within 5 minutes, around the clock. Your form reply arrives with next steps, and the discovery call that follows maps your event, machine, wrap, and prize plan into a written proposal.
Can I extend my rental or book multiple weeks?
The flat rate covers 1 to 4 event days, additional days are $297 each, and 14 days is the maximum for a single rental. The one exception is multi-market tours, which are quoted as one program with flexible length on a tour basis.
What if I need to reschedule my event?
Events move, and we move with them: send written notice and we will work to land your new date, subject to our calendar. If you do not have a new date yet, your payment converts to a credit, good for 12 months, toward your rescheduled event or any of our services (less any costs we cannot recover). The remaining balance is due within 15 days of your notice.
Machines, space, and power
How big is a claw machine and will it fit in my venue?
The compact Event Claw 31L is 74 inches tall, 31 wide, and 32 deep at 275 pounds; the Pro 41XL is 73 by 41 by 37 at 300 pounds. Both roll through a standard commercial doorway, ride freight elevators, and need a 5 by 6 foot footprint.
What power does a claw machine need?
One standard 110 to 120 volt grounded three-prong outlet on a 15 amp circuit within 6 feet of the machine. No special power, no dedicated drop in most venues, and festival or tent power from a generator distro works.
Does the machine need internet?
The Event Claw 31L needs no internet at all, which makes it the fit for convention floors, concourses, and remote venues. The Pro 41XL needs 2.5 Mbps only when you run gated play and tracked interactions; without gating it runs offline too.
Can claw machines run outdoors?
Yes, under cover: a tent, canopy, or awning, with shade on the screen, a stable level surface, and reliable power. Our machines ran a multi-day outdoor activation at Rockefeller Center exactly this way. Open exposure to weather is the one thing we will not do.
How long does a play take?
About 60 seconds from walk-up to prize, which works out to 50 to 60 plays per hour per machine. Our technicians tune play pacing, difficulty, and session length to your crowd and your giveaway goals on the pre-event strategy call.
Branding, prizes, and play
Can the machine be fully branded for my company?
Yes, that is the default: a premium vinyl wrap produced from your artwork, with design help, templates, and guidance included, plus your prizes inside. A three-sided wrap is included in the base rate and a full four-sided wrap is $349 more. Machines are branded for you alone, never co-branded.
Who supplies the prizes?
You do, and we plan the load together: prize strategy happens on the pre-event strategy call, five sample items ship to us three weeks ahead for testing, and our team helps size quantities to your throughput so the machine gives away as much as you want it to.
Can everyone win?
Yes. Guaranteed-win play is available and it is what most corporate programs want: the machine exists to give product away, not to protect it. Every player walks off with something, the line keeps moving, and the giveaway budget actually reaches people.
What about fragile or edible prizes?
The cube system handles them: fragile items ride inside protective plastic cubes, and products that cannot drop, glass, food, or beverage, are represented by a coupon cube the winner redeems on the spot for the real item. Every grab still pays off.
Can plays be gated behind a form, QR code, or badge scan?
Yes, on the Event Claw Pro 41XL: attendees scan or sign up to earn a play, so the line is qualified and counted, and form and social interactions email results as a CSV after the event. OpenAI ran five badge-gated days this way at Moscone Center.
Delivery, setup, and support
How does delivery work?
The machine ships as crated freight with Dock-to-Dock handling included: we deliver to your venue's loading dock, timed to your load-in window. White Glove service, delivery to the exact spot with setup, teardown, and all labor, is available as an upgrade. Union venues are handled; a COI goes to your venue on request.
Do I need staff to run the machine?
No. Self Setup is included: a training video, simple stocking, and on-call phone support during your event. Professional Set-Up adds a trained technician to start the machine and demonstrate stocking for $1,497, and the Full Service program staffs it end to end. Staffing is always a choice, never a requirement.
What happens if the machine has a problem mid-event?
Both machines run automatic error detection with self-recovery, and every booking includes remote phone-based technical support plus a dedicated project manager. Multi-day runs are the design case: Intel's machine ran three show days and OpenAI's ran five straight at Moscone Center.
Do you deliver nationwide?
Yes, all 50 states: we have shipped claw machines to Hawaii on equipment rentals, and our team has produced full-service events on the islands. Shipping is quoted precisely for your destination, typically $2,000 to $3,000 round trip for the 31L and $4,500 to $6,000 for the Pro 41XL.
Are you insured?
Yes, fully insured, and we provide a certificate of insurance with the coverage types and limits your venue or decorator requires as part of standard delivery paperwork. Union convention centers, hotel ballrooms, and stadium loading docks are all familiar territory.
What if the machine is damaged at my event?
Ordinary wear and tear is always on us, and so is anything our own team causes. Damage, loss, or theft during your event is the client's responsibility, the same as any valuable rented equipment, and there is a simple way to not think about it at all: an optional $2,003 damage waiver that covers potential losses so your team can run the event without worrying about the machine.
