Getting a Machine Into New York City.
Our number one delivery method is direct to show site: at the Javits Center that means the venue dock during your show's published move-in windows, often the cheaper material-handling rate per pound, on the marshaling schedule your show sets. You tell us when the machine needs to be on the floor; hitting the window is our job. Advance-warehouse routing is available when a show requires it, at added cost. For New York, book at least 3 to 4 weeks out, and stretch that further around the city's crunch periods, when Manhattan freight capacity and venue load-in windows both tighten.
| Show or season | Book-by guidance |
|---|---|
| NRF Big Show (January, Javits Center) | The first two weeks of January squeeze Manhattan freight hard. Have your machine confirmed by early December at the latest. |
| New York Comic Con and Advertising Week (October) | Late September into early October is a citywide crunch. Book by early September to lock your move-in window. |
| Holiday pop-up season (November to December) | Venue load-in windows and Manhattan freight capacity tighten together. Book well beyond the standard 3 to 4 weeks. |
| Any other NYC date | Book at least 3 to 4 weeks out. Inside 3 weeks, bring your date to a discovery call and we will tell you straight whether rush is possible. |
The Venues, and What Each One Expects.
Verified logistics for the venues New York planners ask about most.
| Venue | What it hosts | Load-in | Union labor | COI |
|---|---|---|---|---|
| Javits Center | 3.4M sq ft total, 850K+ sq ft exhibit space, 122 meeting rooms | 74 covered loading docks plus a four-level truck marshaling facility; freight routes through the show's marshaling process | Yes. Teamsters handle freight, Carpenters handle uncrating and booth work, Electricians handle power | Contractor COIs naming show management and the facility as additional insured, typically due about 30 days before install |
| Pier 36 (Basketball City) | 70,000 sq ft main hall plus 55,000 sq ft lot and 15,000 sq ft East River deck, capacity to 5,000 | Ground-level pier off the FDR with on-site parking lot, one of Manhattan's easier large-format load-ins | No published in-house drayage jurisdiction | COI standard for NYC venues; confirm certificate holder language with venue |
| Industria (West Village) | Raw studio and event space at 356 W 12th St, standing capacity around 300, serving the NYC creative industry since 1991 | Studio-style load-in on a West Village block; confirm truck size and timing with the studio | No | COI standard; confirm with studio |
| Duggal Greenhouse (Brooklyn Navy Yard) | 35,000 sq ft waterfront hall, 70 ft ceilings | Navy Yard gate access with security check-in; blank-canvas production venue built for large builds | No published union jurisdiction | COI standard; Navy Yard access requires advance vehicle clearance |
| Skylight venues (multiple) | Rotating portfolio of landmark activation spaces, including Skylight at Essex Crossing on the Lower East Side | Varies by property; confirm freight elevator and dock specs per venue | No | COI standard; confirm per property |
The union and labor reality at Javits
Here is the honest version, because nobody else in this market publishes it. The Javits Center operates under three union jurisdictions: Teamsters handle freight and unloading, Carpenters handle uncrating and booth installation, and the Electrical union handles power and lit signage. Exhibitor hand-carry rights are narrow: nothing larger than what one person can carry, nothing arriving in a vehicle bigger than an Econoline-class van, and a strictly enforced 30-minute curbside limit. A crated claw machine is squarely freight, so at Javits it moves through the show's material-handling process, and you should budget for drayage on your show's published rates.
What you handle: ordering booth power (the 31L and 41XL each run on a standard 120V outlet, which keeps your power order simple), filing your show's material-handling paperwork, and submitting COIs on your show's timeline, typically about 30 days out. What we handle: freight-ready crating, carrier coordination timed to your target move-in date, and, with Pro Set-Up Service, a technician who supervises uncrating within union rules, then tests, tunes, and prize-loads the machine so it is running before the aisles open. We can provide a COI naming the venue and show management as additional insured for any NYC venue, usually within one business day.
Off the trade-show floor, New York gets easier. Pier 36, Industria, Duggal Greenhouse, and most private venues have no drayage jurisdiction. There the constraints are physical, not contractual: freight elevator dimensions, dock appointments, and street-unloading windows. Send us your venue's production kit and we will flag any conflicts before you sign.

Getting around New York City
Three airports serve the city. From JFK, plan 60 to 90 minutes to the Javits and Hudson Yards area in normal traffic. From LaGuardia, 30 to 50 minutes. From Newark, 30 to 50 minutes with Lincoln Tunnel variability.
The rideshare verdict is not close: skip the rental car entirely. Manhattan parking is scarce and expensive, and the Congestion Relief Zone now tolls vehicles entering Manhattan at or below 60th Street, currently $9 peak for passenger cars and $14.40 to $21.60 per entry for trucks. Your machine's freight carrier prices that into the lane, which is one reason NYC deliveries can run above typical freight.
For you personally, the subway's 7 train stops at 34th St-Hudson Yards, one block from Javits, and it beats crosstown traffic almost every time.
Three Follows Before You Land.
New York changes weekly. Three accounts that keep visitors current:
Secret NYC
Pop-ups, installations, and what is happening in the city during your event week.
Permits and weather in New York
If your activation is on private property or inside a venue, no city permit is needed. Public plazas, parks, and street activations require permits through the relevant agency (NYC Parks, the Street Activity Permit Office, or a plaza's managing partner) and lead times run weeks, not days, so start early and loop us in on power and overnight security.
Weather matters at the calendar's two ends: January show season brings snow days that can pinch freight schedules (another reason to book NRF machines by early December), and July to August outdoor activations need shade and a heat plan for electronics. Machines belong under a tent or indoors, always.

How We Would Play It.
NRF Big Show
Retail tech buyers respond to retail theater. We would wrap the 41XL in your product UI, load branded plush "SKUs," and gate plays with badge scans to convert the line into pipeline.
New York Comic Con
Fandom is the whole game. Load exclusive collectibles or chase variants, brand the claw as part of the story, and the line becomes the activation. Our Love Island fan-event playbook maps directly to this crowd.
Advertising Week
Marketers judge craft. A flawless wrap and a clever prize concept (tiny gold "award statue" plush works every time) makes your machine the most-posted booth of the week.

NBC's Love Island · Rockefeller CenterNew York demand, in one stat
New York shows about 130 combined monthly searches for claw machine rentals and claw machines, at the highest cost-per-click in the country, $2.50 to $3.00, a signal of how much brands pay to reach this audience in the activation capital.
New York City Questions, Answered.
How far in advance should I book a claw machine for a New York event?
Three to four weeks minimum, and earlier around NRF (early January), Comic Con and Advertising Week (early October), and the November to December pop-up season. NYC venue load-in windows book up fast, so lock the date and we will hit the window.
Can you deliver to the Javits Center?
Yes, and we plan around its rules. A crated machine is freight, so it moves through your show's material-handling process via the four-level truck marshaling facility, with Teamsters handling freight and Carpenters handling uncrating. Budget drayage on your show's rate card, and add our Pro Set-Up Service so a technician tunes and prize-loads the machine within union rules.
Do NYC venues require a certificate of insurance?
Almost universally, yes. Javits shows typically require contractor COIs naming show management and the facility as additional insured about 30 days before install, and most private venues require one too. We provide venue-specific COIs, usually within one business day.
Does congestion pricing affect my rental cost?
Indirectly. Trucks entering Manhattan at or below 60th Street pay $14.40 to $21.60 per entry, and carriers price that into NYC lanes. We never quote hidden fees: run your configuration through the pricing calculator and the freight estimate reflects the real lane.
My venue has no loading dock. Can you still deliver?
Usually, yes. Many Manhattan studios and lofts rely on street unloading windows and freight elevators. Send us the venue's freight elevator dimensions and unloading rules and we will confirm fit before you book.
Do you serve Brooklyn and the outer boroughs?
Yes. Brooklyn Navy Yard venues like Duggal Greenhouse, Long Island City studios, and outer-borough offices are all standard deliveries. Navy Yard events need advance vehicle clearance at the gate, which we coordinate with your producer.
Can a claw machine run outdoors at a NYC street activation?
Under cover, yes. Machines need a tent or canopy, a standard 120V outlet, and overnight security. Public-space activations also need city permits with multi-week lead times, so start that paperwork before you book anything else.
What about January weather and my NRF booth?
Snow can pinch freight schedules in the Northeast. We build buffer into January deliveries and recommend confirming NRF machines by early December so your machine is staged and ready regardless of what the week's forecast does.
The city that never stops playing
New York rewards brands that show up with something worth lining up for, and a claw machine full of prizes people want is exactly that. Tell us your venue and your date, and we will bring the machine, the prizes, and the plan.
