We deliver wrapped claw machines with custom prize loads straight to the dock, the ballroom, or the honky-tonk floor. What Brings You to Nashville?
Conferences
Between Music City Center's 55 meeting rooms and Gaylord Opryland's 2,888-room campus, Nashville runs conferences year-round. A wrapped machine turns a sponsor booth or welcome reception into the line everyone joins.
Brand activations
Broadway's foot traffic, the bachelorette economy, and CMA Fest week make Nashville a proving ground for consumer activations. A claw machine is the photo stop that stops the crawl.
Trade shows
Music City Center's 353,143 square foot single-level exhibit hall hosts shows like the Nashville Home Show and MAGIC Nashville. One flat floor and below-grade docks make this an easy building to work.
Company parties
Nashville's corporate holiday season books ballrooms from downtown to Opryland solid through November and December. A machine loaded with logo prizes is the party moment people post.

Nashville sits at a mid-country interstate crossroads and is a well-served freight market, so round-trip shipping typically lands right at the published typicals, about $2,500 for the Event Claw 31L and about $5,250 for the Event Claw Pro 41XL. Show-week surcharges are rare here outside CMA Fest.
Getting a Machine Into Nashville.
Our number one delivery method is direct to show site, straight to the venue dock during published move-in windows, which often rides the cheaper material-handling rate per pound. You tell us when the machine needs to be on the floor, and hitting that window is our job. Advance-warehouse routing is available when a show requires it, at added cost. In Nashville that mostly comes up on the biggest Music City Center shows, where the general service contractor sets the freight rules.
| Show or season | Book-by guidance |
|---|---|
| CMA Fest week (mid June) | Downtown locks up, hotels spike, and dock schedules tighten, so book 6 to 8 weeks out and confirm your venue's load-in window before you sign anything. |
| Fall conference and Titans season (September to January) | Nashville's busiest corporate stretch. Four to six weeks of lead time keeps wrap production and freight comfortable. |
| Corporate holiday season (November to December) | Ballrooms at Gaylord Opryland and downtown hotels book out early, so lock your machine by mid October for a December party. |
| Music City Center show weeks (Nashville Home Show in September, MAGIC Nashville in May) | Ship to the published move-in window under your booth number, and loop us in on the exhibitor manual so freight lands under the right rate. |
The Venues, and What Each One Expects.
The four rooms where Nashville corporate events actually happen, and what it takes to get a machine inside each one.
| Venue | What it hosts | Load-in | Union labor | COI |
|---|---|---|---|---|
| Music City Center | Downtown's anchor: a 353,143 square foot single-level exhibit hall, 55 meeting rooms, and two ballrooms, with a 300,000 square foot expansion under study after more than 45 percent of interested events could not be booked for space between fiscal 2023 and 2024. | Below-grade truck docks keep freight off the street; docks are run by your show's general service contractor, often Freeman, during published move-in windows. | Tennessee is a right-to-work state, and exhibitors can typically do more of their own setup here than in Chicago or San Francisco. | COI requirements are set per show in the exhibitor manual; we return ours the same day you send requirements. |
| Gaylord Opryland Resort and Convention Center | 640,000 square feet of meeting, convention, and exhibit space with 2,888 rooms, the largest non-gaming hotel in the continental US by meeting space. | Resort convention docks with in-house event services; route your delivery timing through the hotel event manager assigned to your program. | Right-to-work market; the hotel's events team coordinates vendor access rather than trade labor. | The hotel's event team collects vendor COIs with your program paperwork; send the requirements and we turn ours around fast. |
| Nissan Stadium | Home of the Tennessee Titans through the 2026 season, with the new enclosed stadium next door tracking toward a February 2027 completion. | Game day and event load-ins are scheduled through Titans and stadium event staff; our Titans-wrapped machine has already run a concourse here on game day. | Right-to-work market; access, escort, and timing rules come from stadium events staff, not a labor call. | Expect a COI naming stadium and team entities; requirements arrive with your event paperwork and we match them. |
| Category 10 | Luke Combs' multi-level bar and music venue in the former Wildhorse Saloon space on Second Avenue, one of Broadway's biggest private buyout options for corporate takeovers. | Downtown street load-in off Second Avenue; coordinate the window with venue ops and avoid weekend nights when the neighborhood is wall to wall. | Private venue, no union requirements; venue staff schedule vendor windows. | Buyout contracts include standard vendor COI language; our standard event coverage clears it. |
Labor in Nashville: a lighter lift than the coasts
Tennessee is a right-to-work state, and it shows on the floor. At Music City Center, exhibitors can typically handle more of their own booth setup than they could in Chicago or San Francisco, which keeps small-footprint installs like ours fast and cheap.
The catch is the general service contractor. Big shows appoint one, often Freeman, and the GSC controls the docks and material handling regardless of state labor law. Your machine rides the show's freight rules, so we route to the published move-in window under your booth number and let the drayage rate work in your favor.
At hotels, the stadium, and Broadway venues there is no labor call at all. The venue's own events staff set the window, and our crew handles placement, leveling, test plays, and the prize load.

Getting around Nashville
Nashville International Airport (BNA) is the only airport you need, about 8 miles east of downtown and usually a 15 to 20 minute drive to Music City Center. It is booming, with a record 25 million plus passengers in 2025, so pad your departure on Sunday and Monday mornings when conference traffic stacks up.
Skip the rental car if your event is downtown. The hotels around Music City Center are all within a couple of blocks, Broadway is pedestrian chaos on weekends, and event-night garages fill early, so rideshare wins. If your program is at Gaylord Opryland, the resort is a self-contained campus about 15 minutes from the airport, and rideshare both ways still beats parking a rental you will never move.
For Titans games and CMA Fest stadium nights, the pedestrian bridge connects downtown straight to the stadium side of the river, and walking beats any vehicle you could hire.

Weather for outdoor activations
June through August is hot and sticky, and spring brings real thunderstorms, so outdoor Broadway activations need a covered, powered footprint and a rain call time. Machines are electronics: we place them under tents or overhangs, never open sky.
November through February is mild by northern standards but can swing cold fast, and downtown stays packed year-round, so winter programs simply move the machine inside the venue door where the line forms anyway.

Tennessee Titans · Game DayNashville demand, in one number
Between fiscal 2023 and 2024, more than 45 percent of events that wanted Music City Center could not be booked for lack of space, per the center's June 2025 HVS expansion study, in a building that has already hosted 5.1 million attendees across 2,654 events since 2013.
Nashville Questions, Answered.
How far in advance should I book a claw machine in Nashville?
Four to six weeks covers most Nashville events, which is enough for wrap production and freight. Add cushion for CMA Fest week in mid June and for December holiday parties, when venues and docks book out first.
How does delivery work at Music City Center?
Direct to show site: we route the machine to the center's below-grade docks during your show's published move-in window, under your booth number, which often rides the cheaper material-handling rate per pound. You tell us when it needs to be on the floor and hitting the window is our job. Advance-warehouse routing is available when a show requires it, at added cost.
Can you deliver to Gaylord Opryland Resort and Convention Center?
Yes. Opryland runs 640,000 square feet of meeting and exhibit space with its own convention docks, and deliveries are scheduled through your hotel event manager. We coordinate the window, place the machine, and load prizes before your doors open.
Do I need union labor to set up a claw machine in Nashville?
No. Tennessee is a right-to-work state and exhibitors can typically do more of their own setup at Music City Center than in Chicago or San Francisco. On GSC-run show floors the contractor still controls docks and material handling, and we route around that for you.
What power does the machine need?
A standard 120V wall outlet on its own circuit, the same order as a laptop bar. On a Music City Center show floor, add a basic booth power drop through the exhibitor portal and the machine plugs straight in.
Who provides the certificate of insurance?
We do. Music City Center shows set COI requirements in the exhibitor manual, hotels and the stadium send theirs with event paperwork, and we return a compliant certificate the same day you forward the requirements.
Can the machine run outdoors on Broadway or at a tailgate?
Yes, with cover. Nashville summers are hot with real thunderstorms, so outdoor activations need a tent or overhang, a dry power source, and a rain call time. We place machines under cover, never open sky.
Can a claw machine really run on a stadium concourse?
Ours already has. We wrapped a machine for the Tennessee Titans and it ran on the Nissan Stadium concourse on game day, loaded with team-color prizes. Concourse installs come down to scheduling with stadium event staff, and we have done that dance here.
Put a machine on the floor in Music City
Nashville rewards the booth, ballroom, or bar that gives people something to do, and a wrapped claw machine with a custom prize load is exactly that. Tell us the venue and the date, and we will handle the dock, the paperwork, and the line that forms.
