Know Before You Book

Labor in Austin: about as easy as big-city events get

Texas is a right-to-work state, and Austin venues run about as low-friction as event labor gets in a major market. There is no union jurisdiction over who positions, plugs in, or stocks your claw machine at Palmer Events Center, a hotel ballroom, a SXSW activation house, or a Circuit of the Americas suite.

The one structure to respect is the show decorator. At decorated trade and consumer shows, the general contractor still controls the dock schedule and the material handling rate, so your machine moves on their clock even though no union rules apply. We build to that: the crate hits the dock inside the published window, the paperwork is done in advance, and you never touch a pallet jack.

Hotel ballrooms are simpler still. Convention services assigns a dock time, and with Pro Set-Up Service our crew handles placement, leveling, testing, and the full prize load before your doors open.

Getting around Austin

Austin-Bergstrom International Airport sits about 8 miles southeast of downtown, one of the shortest airport runs of any major event city: figure 15 to 25 minutes to the hotel district in normal traffic, and it is conveniently on the same side of town as Circuit of the Americas.

Verdict: rideshare wins for downtown-centered programs, since the big hotels, Palmer Events Center, and Rainey Street all sit within a few minutes of each other and downtown parking is scarce and pricey during big weeks. Rent a car only if your schedule includes Circuit of the Americas or the suburban tech campuses. If you are working Palmer, its 1,200-space garage is the rare close-in parking that actually has room.

During SXSW, downtown streets close, rideshare surges, and Interstate 35 does what Interstate 35 does. Build walking time between venues into your run of show and stage deliveries before badge pickup opens.

Austin weather is a planning input, not a footnote. March can swing from a cold snap to shirtsleeves inside the same SXSW week, so outdoor activations need a rain and wind plan. Summer afternoons routinely push into the high 90s and beyond, which is why we place machines indoors or under real shade with dedicated power from June through September. Yes, with the right plan. October is the best outdoor month, March needs a rain and wind contingency, and from June through September we require shade and dedicated power because afternoons regularly push into the high 90s. Machines always need a level surface and overnight security or power-down coverage.
