Getting a Machine Into Miami.
Our number one delivery method is direct to show site, straight to the venue dock during published move-in windows, which often books at the cheaper material-handling rate per pound. You tell us when the machine needs to be on the floor, and hitting that window is our job. Advance-warehouse routing is available when a show requires it, at added cost. In Miami, the calendar is the whole game: two weeks a year, Art Week in December and Grand Prix week in May, absorb most of the market's venue capacity and production bandwidth.
| Show or season | Book-by guidance |
|---|---|
| Miami Art Week and Art Basel Miami Beach (early December) | Book by early October. Wrap production slots and every venue from Wynwood to Collins Avenue get claimed first by the fastest-moving brands. |
| Formula 1 Miami Grand Prix week (early May) | Book by mid-March. Hospitality suites, fan zones, and hotel pop-ups all compete for the same seven days of install labor. |
| Boat Show and South Beach Wine and Food Festival window (February) | Book by early January. The convention center and the beachfront run back-to-back events with tight turnover. |
| eMerge Americas (early March) | Book 6 to 8 weeks out. Standard trade-show timeline with dock delivery during the published move-in window. |
| Winter high season (December through April) | Everything in Miami books earlier in the dry season. Add two weeks of cushion to any winter event date. |
The Venues, and What Each One Expects.
We have researched load-in at the rooms where Miami's biggest event weeks actually happen.
| Venue | What it hosts | Load-in | Union labor | COI |
|---|---|---|---|---|
| Miami Beach Convention Center | 491,654 square feet across four exhibition halls, plus a 60,979 square foot grand ballroom. Home of Art Basel Miami Beach, eMerge Americas, and the indoor half of the Miami International Boat Show. | 32 dock positions split between the north loading area (19) and south loading area (13). At cited shows, freight moves through the general service contractor during published move-in windows. | No union labor requirement, Florida is a right-to-work state. The general service contractor's material handling and dock rules govern at cited shows. | COI required. Certificate specs come through show management and the exhibitor services manual. |
| Mana Wynwood | 100,000 square foot convention center in the Wynwood arts district: the 45,000 square foot Event Hall (White Room) and 35,000 square foot Sound Stadium (Black Room), with roughly 30 foot ceilings and on-site parking. | Ground-level halls scheduled directly with venue operations. Private activations skip the show-floor bureaucracy entirely. | No union requirement. Your crew or ours handles placement. | COI naming the venue is standard for private events. |
| Ice Palace Studios | 100,000 plus square foot former ice plant at 1400 North Miami Avenue with four black-box stages and capacity to 8,000. A longtime host of Art Basel events and Miami Fashion Week. | Studio-style load-in coordinated with the venue team. Stages are built for heavy production moving in and out fast. | No union requirement. Production-friendly house. | COI required, arranged through the venue's booking office. |
| Faena Forum | 43,000 square feet of OMA-designed event space at 3300 Collins Avenue in the Faena District, with two combinable exhibit halls and capacity to 1,000 guests. Miami Beach's marquee luxury launch venue. | Boutique venue with tighter service corridors. We pre-stage delivery timing with Faena's event team rather than assuming a freight dock. | No union requirement. Hotel-district service standards apply. | Hotel-grade COI limits, confirmed with the Faena events office at booking. |
| Hard Rock Stadium | The Miami Gardens campus that hosts the Formula 1 Crypto.com Miami Grand Prix each May, plus year-round corporate events and hospitality spaces across the stadium footprint. | Campus lot access scheduled through the stadium events team. During Grand Prix week, every delivery runs on the event's credentialed access plan, so windows are locked weeks ahead. | No union requirement. Event-week access rules are the real constraint. | COI required by the stadium, with event-specific certificate holders during Grand Prix week. |
Labor in Miami: light rules, crowded calendars
Florida is a right-to-work state and Miami has no union labor requirement for booth work. Your team, our Pro Set-Up crew, or the venue's staff can unload, place, and plug in a claw machine without trade-labor jurisdiction questions.
At Miami Beach Convention Center cited shows like Art Basel, eMerge Americas, and the boat show, the general service contractor still runs the docks and material handling. Freight follows the exhibitor services manual, target times, and rate card even though the labor rules themselves stay light.
Private venues are simpler still. Mana Wynwood, Ice Palace Studios, and hotel ballrooms need a scheduled dock or drive-up window with venue operations and a COI on file, and that is usually the whole story.

Getting around Miami
Miami International Airport sits about 10 miles from Miami Beach, roughly 25 to 35 minutes over the Julia Tuttle Causeway outside rush hour, and 15 to 20 minutes from Wynwood. Fort Lauderdale-Hollywood International adds a second fare option about 25 miles north, typically 40 to 60 minutes to the beach depending on Interstate 95.
Verdict: skip the rental car. Miami Beach parking is scarce, event venues run valet-heavy, and rideshare covers the beach, Wynwood, and the Design District without the garage hunt. If you must drive to the convention center, it has almost 800 rooftop parking spaces.
One warning for the first week of December: Art Week roughly doubles causeway and Collins Avenue drive times. Pad every delivery window, meeting, and dinner reservation accordingly.
Three Follows Before You Land.
Three feeds that will have you planning your Miami event like a local before wheels down.
Miami Food Pug
A husband-and-wife food blog that has become the shorthand answer to where to eat right now across Miami's neighborhoods.
The New Tropic
Local newsletter energy in feed form: what is opening, closing, and actually worth leaving the hotel for this week.
Greater Miami and Miami Beach
The official destination account, useful for event-week announcements, neighborhood guides, and the occasional traffic-saving heads up.
Weather: hurricane season and the summer steam
Atlantic hurricane season runs June 1 through November 30, peaking August through October. Our machines are indoor equipment, so the planning rule for that window is simple: outdoor activations need a covered, weather-secure position and an indoor fallback written into the run of show. We will flag it during planning, not on delivery day.
Summer adds 90 degree heat, heavy humidity, and near-daily afternoon downpours, another reason Miami's biggest brand moments cluster in the December through April dry season. If your activation is outdoors in summer, plan tenting, power protection, and shade for the queue you are about to create.

How We Would Play It.
Miami Art Week
A gallery-white machine with a Deco Pastel wrap and numbered, limited-drop prizes treated like editions. Art Week crowds line up for scarcity, so we load fewer, better prizes and let the queue become the activation.
Formula 1 Miami Grand Prix week
A racing-inspired colorway in your brand's palette, plush trophies and paddock-style lanyard credentials in the load, built to run fast rounds in hospitality suites and fan zones between sessions.
eMerge Americas
Bilingual English and Spanish prize cards with QR lead capture on every win. The LATAM tech crowd is the whole point of the show, so the machine speaks both languages.
Proven on national stages, built for Miami
When NBC's Love Island needed a fan-event centerpiece in New York, we delivered wrapped claw machines that anchored a Rockefeller Center activation and kept a queue running all day. Read the Love Island fan event case study for the full build, including the CeraVe set-wall machine in the photo here.
When OpenAI wanted a booth magnet at Moscone Center in San Francisco, our machine rolled in through one of the country's most process-heavy convention docks and ran flawlessly all show. The OpenAI conference case study covers the logistics. Those same builds, same wraps, and same crew standards land in Miami for Art Week, Grand Prix week, and everything between.
CeraVe · Love Island USAMiami by the numbers
The 2025 Formula 1 Crypto.com Miami Grand Prix drew a record 275,480 spectators to the Hard Rock Stadium campus across race weekend. That is one seven-day window of brand-activation traffic, and Miami Art Week runs the same play every December.
Miami Questions, Answered.
How far in advance should I book a claw machine for Art Week or Grand Prix week?
Book 8 to 10 weeks out for those two weeks, versus our standard 4 to 6 for a custom-wrapped machine. Art Week and Grand Prix week absorb Miami's venues, hotels, and install labor faster than any other dates on the calendar, so wrap production slots go first.
How does delivery work at the Miami Beach Convention Center?
Direct to the dock during your show's published move-in window, our number one method. The convention center runs 32 dock positions across its north and south loading areas, and at cited shows your general service contractor handles material handling from dock to booth.
Do I need union labor to set up a claw machine in Miami?
No. Florida is a right-to-work state and there is no union labor requirement for booth work. At cited convention center shows the general service contractor's dock and material-handling rules still apply, and our Pro Set-Up Service at $1,497 covers placement, leveling, prize loading, and testing.
What power does the machine need on a Miami show floor?
A single standard 120V outlet, nothing exotic. At the convention center you order booth power through show services in the exhibitor kit; at private venues like Mana Wynwood or a hotel ballroom, a wall outlet within reach of the placement is all we need.
Will you provide a COI for my Miami venue?
Yes, we issue a certificate of insurance naming your venue and show management as required. Miami Beach Convention Center shows spec the certificate in the exhibitor services manual, and hotels like Faena carry their own certificate-holder language we match at booking.
Does hurricane season affect a claw machine rental?
Only for outdoor placements. Hurricane season runs June 1 through November 30, so outdoor activations in that window need a covered, weather-secure position and an indoor fallback we write into the plan. Indoor events run unaffected year round.
Is load-in easier at Wynwood venues than at the convention center?
Usually, yes. Mana Wynwood and Ice Palace Studios offer ground-level, drive-up style load-ins scheduled directly with venue operations, with no general service contractor in the middle. That makes them favorites for private Art Week activations on tight build timelines.
Can the machine be set up for a bilingual or LATAM-focused audience?
Yes, and in Miami you should. We produce Spanish and English prize cards, bilingual wrap copy, and QR lead-capture flows in both languages, which matters at eMerge Americas and any activation aimed at the city's LATAM marketing corridor.
